How we collect, use, and protect personal information about members, event attendees, and visitors to this site.

1. Who we are

CEdMA Enterprise is the trading name of Computer Education Management Association Europe Limited, a company limited by guarantee registered in England and Wales, company number 02950000. We are the data controller for the personal information described in this policy.

2. What this policy covers

This policy explains how we collect and use personal information when you visit this website, use the members site at members.cedma-enterprise.org, apply for membership, attend our conferences, SIG meetings, and workshops, or contact us by email.

3. Information we collect

  • Membership and accounts. Your name, company, job title, and work email address, and anything you add to your profile on the members site. For each member company, we also hold the details of its primary contact.
  • Applications and enquiries. What you send us by email, such as your name, company, job title, and the size of your education team.
  • Events. The names of attendees provided by each member company’s primary contact, attendance at SIG meetings and workshops, and any dietary or access requirements you tell us about.
  • Sponsor email preferences. Whether you have agreed to hear from our sponsors.
  • Photographs and recordings. Images and recordings taken at our events.
  • Board members and award winners. Names, roles, photographs, and short biographies, which we publish with the agreement of the people concerned.

This website does not use cookies or analytics, and it has no forms. It loads its fonts from Google Fonts, so your browser sends your IP address to Google when a page loads. Our web host also keeps standard server logs, such as IP addresses and the pages requested, to keep the site secure and working.

4. How we use your information

We only use personal information when the law allows it. The table shows what we use it for and the legal basis we rely on.

5. Who we share it with

We do not sell personal information. We share it only when we need to, with:

  • YourMembership, which hosts the members site on our behalf.
  • Microsoft, which provides our email and file storage.
  • The conference hotel, currently the Renaissance London Heathrow, which receives attendee names and any dietary or access requirements so it can provide accommodation and meals.
  • Sponsors, but only if you have agreed. We share your name, company, job title, and work email address.
  • Our web host, and Google Fonts as described above.
  • Professional advisers, or authorities when the law requires it.

Our service providers act on our instructions and must keep your information secure. We plan to move the members site to a new platform within the next year, and we will update this policy when we do.

6. International transfers

Some of our providers, including YourMembership, may store or process information outside the UK, including in the United States. When they do, we rely on the safeguards that UK data protection law requires, such as the UK International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework.

7. How long we keep it

Member and account records
For as long as your company is a member, then 6 years

Deleted within 3 months after the event

Until you withdraw it. We keep a record of your choice for 6 years
Event photographs
Kept in our archive as a record of the association’s history. We will remove a photograph of you on request

8. Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict how we use your information
  • object to how we use your information, including for newsletters
  • ask for your information in a format you can take elsewhere
  • withdraw your consent at any time, where we rely on it

To use any of these rights, email community@cedma-enterprise.org. We will reply within one month.

9. Complaints

If you are unhappy with how we have used your information, please contact us first so we can try to put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint.

10. Changes to this policy

We will post any changes on this page and update the version and date at the top.
